Privacy Policy
Last updated 6 November 2026 · Marian Anbu Studio
This policy explains how Marian Anbu Studio (“we”, “us”) collects, uses and protects personal data in Librarian — The Book Manager (the website, web app, PWA and Android/iOS apps). We process school data on behalf of each institution and follow the Digital Personal Data Protection Act, 2023 and the Information Technology Act, 2000.
1. Who is responsible
Each school or college (“Institution”) decides what data it adds to its library and is the Data Fiduciary for its students, parents and staff. We act as its Data Processor and only use that data to run the service for the Institution. For data you give us directly on this website (demo requests, contact forms, sign-ups) we are the Data Fiduciary.
2. What we collect
- Institution & staff accounts: name, email, mobile number, role, login history and IP address.
- Members: name, admission / employee number, class or designation, roll number, photo (optional), parent or guardian name and mobile number, library card number.
- Library activity: books issued and returned, reservations, fines and payments, reviews, reading badges, wishlists, event registrations and library visits.
- Payments: amount, method, UPI / bank reference and gateway transaction IDs. We never store card numbers or UPI PINs — these are handled by the payment gateway.
- Website visitors: details you type into demo or contact forms and basic analytics (if enabled by us).
3. How we use it
- To provide circulation, catalogue, fines, notifications, reports and the member apps.
- To send alerts the Institution has switched on — due dates, overdue reminders, receipts — by in-app notification, push, email, SMS or WhatsApp.
- To bill Institutions for their subscription and send renewal reminders.
- To keep the service secure, prevent abuse and fix problems.
We do not sell personal data or use student data for advertising.
4. Children’s data
Most members are students under 18. Their data is entered by the Institution, which is responsible for obtaining verifiable parental consent where required. We process children’s data only to provide library services, and we do not track, profile or target advertising at children.
5. AI features
The library assistant and AI Insights can use an AI provider chosen by the Institution or the platform. Member names are masked before they are sent unless the Institution chooses otherwise. AI providers process requests only to return an answer. An Institution can switch AI off at any time.
6. Sharing
We share data only with service providers that help us run Librarian — hosting, email, SMS / WhatsApp providers, payment gateways (such as Razorpay) and AI providers when enabled — under confidentiality obligations, or when required by law.
7. Storage, security and retention
Data is stored on servers in India where available, isolated per Institution, transmitted over HTTPS, and secrets such as API keys are encrypted. Access is limited by role. We keep data while the Institution’s subscription is active and delete or return it on request after the account is closed, except records we must keep by law (for example GST invoices).
8. Your rights
You can ask to access, correct or erase your personal data, withdraw consent, or nominate someone to act for you. Students, parents and staff should first contact their Institution; you may also write to us. You can complain to the Data Protection Board of India.
9. Cookies
We use essential cookies to keep you signed in and protect forms, and your browser’s storage to remember preferences such as dark mode and text size.
